Job Description
The Senior Sales Operations will primarily support Sales team(s), which could be selling multiple events. The role will drive consistency and quality in the Sales teams and act as a key link between the Sales function and the Asia CRM team. They will provide structured sales administration, Salesforce (CRM) support, data analysis & investigation, reporting, and data management / entry support. As the Sales teams develop, the role will also become involved in campaign management, and informing the CRM team of priorities for future development of our new Salesforce system to then act as a key testing group.
They may also on occasion be required to support the Event team with administrative duties.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Sales Administration & Team Support
Sales enabling administration including issuing sales contract, payment request, invoices and cash receipts
Monitor sales figures and remind relevant sales persons/offices to follow up on outstanding contract/payment for responsible event(s)
Ensure customer queries are answered and/or resolved in a timely manner
Manage the distribution of the Online Exhibitor Manual (OEM) order forms and be the point of contact for responsible event(s)
Provide necessary forms for: sales, stand upsells, promo opportunities, catalogue (publishing events) and facilities forms for online customer tools
Act as key liaison point with Event Operations team for customer data and Event floor plan queries
Where required, support Event team in organisation of sales events
CRM (Salesforce) / invoicing system (EMS) support to sales teams
Serve as Subject Matter Experts (SME) on Salesforce.com business process for sales teams, cross training and sharing knowledge to internal & external team
Support Sales team training in new Salesforce.com features
Support data entry into invoicing system and Salesforce.com and ensure accuracy through period analysis
Follow up payment as schedule and updated cashbook daily
Support Finance, CRM, O2C on AR clearance, write off
Reporting, Data Analysis & Investigation
Sales figure reporting and ad-hoc reports as requested
Where relevant manage integration of International Joint Venture reports
Support Sales team with proactive insight and trend analysis
Campaign Management
Support to Sales Leadership and CRM team to set up, assign and manage campaigns
Manage the gathering of member lists / data for campaigns and QA
Support sales teams to maintain a hot list of leads; actively track competitive shows and/or publications to seek out new leads
Testing & Improving Salesforce.com Development
Act as liaison between Sales team and CRM team to gather regular system feedback
Help identify priorities for development and gather requirements
Perform User Acceptance Testing
Perform additional responsibilities as assigned by Line Manager
Qualifications
University Bachelor’s Degree of Finance and Accounting / University of Business Admin / Applied Sciences qualification.
Minimum 2 years of Sales Support/ Accounting Receivable experience across international regions and cultures
Strong organization, time management skills and ability to work with senior internal stakeholders
Attention to detail and accuracy, good understanding of Accounts Payable and Accounts Receivable procedures and basic bookkeeping and accounting principles.
Experience of data analysis and manipulation
Ability to proactively handle and respond to customer objections
Interpersonal skills, confident personality, high level of enthusiasm.
Good knowledge of VAT invoicing in Vietnam context.
Experience with Salesforce CRM highly desirable
MS Office (Excel, Word, Outlook, OneDrive, Teams)
